Best Solar CRM in the UK: 5 Picks for MCS Installers

How we research

The short answer: Payaca is the best solar CRM in the UK for most installers, at 83.1/100. It is the only CRM we found that documents both MCS (Microgeneration Certification Scheme) paperwork and DNO (distribution network operator) G98/G99 grid submissions. Pylon (77.8) suits small installers who pay per project, and OpenSolar’s free core suits a zero budget.

A solar CRM is software that tracks each lead, quote and job for a solar company. In the UK it must also handle MCS (the scheme that certifies small solar installs) documents and DNO (the local electricity network operator) grid applications. Payaca ranks first on this list, at 83.1/100.

We scored 11 tools in October 2026 and ranked 5. Only five solar or renewables-specific CRMs reached our minimum match score (4 out of 10). HubSpot and Commusoft score higher than some of them, mainly on user reviews. They have no solar features, so we list them separately.

What does a UK solar CRM have to handle?

A UK home install does not end at the signed quote. Each job needs MCS documents and a G98 or G99 grid-connection submission to the DNO. G98 and G99 are the UK rules for connecting small solar systems to the grid. A slow DNO reply can hold up both the install and the final payment.

Payaca and Reonic are built for installers who also sell batteries, heat pumps or EV chargers. So the choice is often between a solar-only pipeline and a clean-tech one.

Most solar CRMs sold globally assume US permitting and finance. The UK job-management systems we found grew up serving heating, plumbing and glazing firms.

For the shortlist without a country filter, see our best solar CRM guide. We apply the same approach to India and Australia.

How did we rank solar CRMs for the UK?

How the score is weighted

  • Use-case fit 35%
  • User reviews 20%
  • Pricing 15%
  • Ease of use 10%
  • Support 10%
  • Momentum 10%

We did our desk research from 22 to 25 October 2026 and checked prices and ratings on 22 October. We used company pages and public user reviews. We did not run a sales pipeline in any tool.

Of the 11, five solar or renewables-specific tools are ranked. Three general tools are shown separately. Three fell below the minimum score.

  • Use-case fit (35%): How well the tool does this page’s job. CRM counts most, then lead management, then workflow automation and proposals. Tools with no named UK presence score lower, and tools with no UK presence at all score much lower.
  • User reviews (20%): G2, Capterra, Trustpilot and similar ratings. Ratings based on only a few reviews count for less, and tools with no reviews get a middle score.
  • Pricing transparency (15%): Published prices score higher than prices you must ask for.
  • Ease of use, support and product momentum (10% each): We take these from review sub-scores and dated release notes. Without evidence, a tool gets a middle score.

Scores are specific to this page’s job, so the same tool can score differently elsewhere.

Third-party ratings are context only and never used in rating markup. SurgePV is not part of this ranking.

1. Payaca: best for MCS and DNO paperwork in one pipeline

Best for: Small and mid-sized UK installers of solar, batteries, heat pumps and EV chargers who want the office run from one system. Score: 83.1/100.

What it is: Payaca is a UK-built platform for clean-tech installers, covering CRM, quoting, scheduling, compliance and invoicing. It takes a job from enquiry to a commissioned install, and it added euro support for Irish installers in October 2026.

Why we picked it: It runs the whole UK job in one system, from quote and MCS paperwork to scheduling, stock and invoicing. It also scored top marks for ease of use, support and recent product updates.

Key features:

  • MCS documents and DNO G98/G99 applications through ENA Connect (the Energy Networks Association portal).
  • Multi-option proposals with e-signature, a customer portal and Stripe deposits.
  • Map-based scheduling and an offline field app with timesheets.
  • Stock and purchase orders per project, plus invoicing with Xero and QuickBooks sync.
  • Glow: in-app roof design and string planning (limited release, September-October 2026).
  • Connections to OpenSolar, EasyPV and Heatpunk, plus OpenAPI and Zapier.

Pricing: All UK prices are ex VAT. Accelerator is GBP 299 per month (GBP 249 billed annually), only for new install businesses, for 12 months and up to 25 users. It then moves to Growth pricing. Growth is GBP 1,199 per month (GBP 999 annually) with 25 users included. Extra seats cost GBP 30 each up to 50, and you get 500 automated actions a month. Growth also carries a GBP 1,500 one-off onboarding fee. Scale is GBP 1,999 per month (GBP 1,666 annually) with 50 users included. Scale Max is GBP 3,199 per month, and Enterprise is custom. SMS costs 4p per message. Checked October 2026 on the Payaca UK pricing page.

Pros (from user reviews on Capterra):

  • Reviewers call it intuitive and easy to use.
  • Customers get interactive multi-option quotes, and one reviewer cut admin resource by over 60%.
  • The support team responds quickly and acts on feedback.

Cons (from user reviews):

  • Some data mapped incorrectly in the Xero sync (review from October 2025).
  • The one-email-per-project model is awkward for repeat customers.
  • The mobile app is weaker than the web app, and layouts change often.

Reviews: Capterra 4.9/5 (19 reviews) and G2 4.0/5 (1 review), checked October 2026. Most Capterra reviews date from 2021-2024, and none of the reviewers says they install solar.

2. Pylon: best for small installers paying per job

Best for: Solo and small UK installers who want design, proposals and MCS reports per project, with a CRM only when they need one. Score: 77.8/100.

What it is: Pylon is a design and proposal tool from Sydney, with an optional solar CRM add-on. It is sold per project, with unlimited users and no monthly minimum. It publishes GBP prices and produces MCS reports for UK jobs. It posted dated updates through July 2026, including editable single-line diagrams and an API (a way for other apps to connect).

Why we picked it: It publishes GBP prices and charges per project, so your software bill follows your workload. It also has a solid review record and regular product updates.

Key features:

  • Optional solar CRM with automations, web forms and SMS.
  • MCS reports for UK installs.
  • Solar and battery design on aerial imagery, with editable SLDs (single-line diagrams, July 2026).
  • Web and PDF proposals with eSignature.
  • Connections to Xero, Mailchimp, ServiceM8 and Facebook, plus an API with webhooks.

Pricing: Standard is GBP 4 per project (up to 30 kW DC). Pro is GBP 10 per project and adds custom load profiles and commercial sizes. Enterprise is quote only. The Solar CRM add-on starts at GBP 49 per user per month and adds email sync, a lead processor, SMS, web forms and AI assistance. A payment gateway costs 2.5% per transaction. You get five free Standard projects on signup, with no card needed. Checked October 2026 on the Pylon UK pricing page.

Pros (from user reviews on Capterra and G2):

  • You pay per project, so a quiet month costs little.
  • Most reviewers find it easy to learn with the manual, though one says the interface takes time to pick up.
  • Quotes and proposals are detailed and thorough.

Cons (from reviews and our research):

  • Aerial imagery quality varies by location, and the Nearmap link is inconsistent.
  • Reviewers find the usage modelling awkward.
  • The CRM costs an extra GBP 49 per user per month on top of project fees.

Reviews: Capterra 4.6/5 (25 reviews) and G2 4.3/5 (2 reviews), checked October 2026. Most Capterra reviews date from 2021-2023, before the CRM and SLD updates.

3. OpenSolar: best for zero-budget design, proposals and lead capture

Best for: UK installers who want free design-to-proposal software and can live with a light CRM. Score: 62.7/100.

What it is: OpenSolar is a free design, proposal and sales platform from OpenSolar Inc., funded by hardware and finance partners. Our research found a UK shop push in 2026. It is a proposal platform with lead tools rather than a full CRM, and we found no MCS or DNO workflow.

Why we picked it: It gives you design, proposals and lead capture at no licence cost. Payaca connects to it, so you can add a full CRM later without starting again.

Key features:

  • AI lead generation and PROfile lead capture (June 2026).
  • Sales tools added in August 2026.
  • Interactive web proposals with e-signature and payment collection.
  • Free 3D and 2D rooftop design with shading.
  • Hardware shop with distributors.

Pricing: The core platform is free, and OpenSolar says it "will always be free". Since 16 April 2026, API access and the Xero and QuickBooks connectors carry fees OpenSolar does not publish. API access has a 30-day free trial, and premium imagery is an optional paid add-on. Checked October 2026 on OpenSolar’s pricing announcement.

Pros (from reviews and our research):

  • No licence cost for the core platform, for any number of users.
  • Adding, removing and changing panels is very easy, says a G2 reviewer.
  • The app gives your team useful information on site, says another G2 reviewer.

Cons (from reviews and our research):

  • It is "not completely free" once you need add-ons, says a G2 reviewer.
  • We found no MCS paperwork or DNO applications.
  • The interface looks dated, though it works, says one G2 reviewer.

Reviews: G2 4.8/5 (3 reviews), checked October 2026. That is too few to rely on, and we found no Capterra listing.

4. Reonic: best for installers selling PV with heat pumps

Best for: Mid-sized installers who quote solar, storage and heat pumps and want design, proposals and CRM in one platform. Score: 59.1/100.

What it is: Reonic GmbH in Germany makes Reonic, an all-in-one installer platform. It covers 3D PV design, yield and shading simulation, proposals, CRM and project management. It runs a UK English site and claims 3,000+ companies in 30+ countries.

Why we picked it: It plans heat pumps alongside PV and storage, with design, proposals and CRM in the same tool. Its Trustpilot score comes from 33 reviews, including recent ones from UK installers.

Key features:

  • Integrated CRM with Microsoft 365 and Google.
  • Proposal configurator with profitability calculation, branded PDF and e-signature.
  • Project management with tasks, site visits, documents and a customer portal.
  • 3D roof model from satellite, orthophoto (map-accurate aerial photo) or drone scans, with an hourly yield forecast.
  • Heat pump planning alongside PV and storage.
  • Connections to HubSpot, Pipedrive, Xero and Zapier.

Pricing: Quote only. Reonic offers a free product demo rather than a trial. Checked October 2026 on Reonic’s product page.

Pros (from user reviews on Trustpilot):

  • Heat-loss and system design sit in one clean interface (UK reviewer, March 2026).
  • Onboarding support is strong, and the tool is intuitive (UK reviewer, March 2026).
  • Energy-flow simulation and fast proposals helped close sales (German reviewer, September 2024).

Cons (from our research):

  • No published price, so you cannot compare costs before a demo.
  • We found no MCS or DNO workflow for the UK.
  • Its home market is DACH (Germany, Austria, Switzerland), and its grid-registration and KfW (German state development bank) funding services are German-only.

Reviews: Trustpilot 4.5/5 (33 reviews), checked October 2026, though Trustpilot notes the company has not recently invited reviews. Its Capterra listing ("360 household") has no reviews, and we found no G2 listing.

5. Voltflo: best for website lead capture and instant quotes

Best for: Small installers who want an enquiry form that self-qualifies leads and returns an instant proposal. Score: 49.0/100.

What it is: Voltflo is a solar sales platform from Dublin, aimed at installers in Ireland and the UK. Note: we could not open Voltflo’s website, and its London show exhibitor page now returns an error, so it may no longer be sold. Its features come from Voltflo’s own G2 description.

Why we picked it: It is built mainly around the website enquiry, where many small installers lose leads. It made the top five because few UK solar CRMs qualify, so treat it as a cautious pick.

Key features:

  • Lead capture and self-qualification forms.
  • Instant proposals using the installer’s own equipment and prices.
  • CRM pipeline and marketing source tracking.
  • Commercial solar enquiry flow.
  • Smart Sites: managed installer websites.
  • Listed connections to GoHighLevel, HubSpot, Zoho and monday.com.

Pricing: Quote only, as G2 says Voltflo has not listed pricing. Checked October 2026 on Voltflo’s G2 pricing page.

Pros (from our research):

  • On paper, it is built around the enquiry stage: forms, self-qualification and an instant quote.
  • Its listing names links to general CRMs many installers already use.
  • It targets Irish and UK installers rather than US ones.

Cons (from our research):

  • It may no longer be sold or supported (see the note above).
  • No published price and no user reviews to judge it by.
  • We found no MCS or DNO workflow.

Reviews: No user reviews on G2, Capterra or Trustpilot as of October 2026.

What we could not confirm: G2’s seller description refers to battery management, which conflicts with the product listing.

HubSpot Sales Hub (general sales CRM): 65.1/100

Best for teams already on HubSpot marketing. HubSpot is a global sales CRM with no named UK presence. A third-party app (Saular) syncs it with OpenSolar, but MCS and DNO steps are your own build.

Pricing: Free for up to 2 users. Starter is USD 7 or USD 20 per seat per month (the page does not label which is the annual rate). Professional is USD 90 or USD 100 per seat per month, plus a required USD 1,500 onboarding fee. Checked October 2026 on the HubSpot pricing page. We did not record GBP prices.

  • Pros: a central pipeline and automation help close deals, it is easy to use, and prospect tracking is detailed (Capterra).
  • Cons: costs rise quickly with seats and tiers, calling tools can be buggy, and some find support hard to reach (Capterra).

Reviews: Capterra 4.5/5 (506 reviews), checked October 2026.

Commusoft (general trades job management): 61.5/100

Best for installers who also run service contracts. Commusoft is UK job-management software for heating, plumbing, electrical and renewables trades, with a separate Sales CRM module. We confirmed no solar features: no MCS documents, DNO applications or design.

Pricing: Quote only. Jobs plans are charged per licence per month on a 12-month contract, with a minimum of 4 licences and required paid onboarding. Commusoft Sales prices are not published. Checked October 2026 on the Commusoft pricing page.

  • Pros: billing and parts tracking cut payment delays, and the apps save admin time. Engineers find the app easy (Capterra).
  • Cons: there is no bulk delete of old data, so storage fills up and extra storage must be bought. The engineer map view is laggy (Capterra).

Reviews: Capterra 4.7/5 (212 reviews), G2 4.8/5 (41 reviews) and Trustpilot 4.1/5 (17 reviews, profile for the commusoft.com domain), checked October 2026.

Business Pilot (general installer CRM/ERP): 55.5/100

Best for installers that also fit windows and doors. Business Pilot is a UK cloud CRM and ERP for installation firms, mainly glazing. It has a solar landing page, but we found no MCS or DNO workflow.

Pricing: Per-licence prices are not published. The FAQ states a minimum of GBP 240 per month, equal to three full users. The minimum term is 24 months, then 30-day rolling. Checked October 2026 on the Business Pilot FAQ.

  • Strengths (from our research): survey booking, signed contracts and a drag-and-drop install board. It also has real-time job costing with milestone invoicing, and aftercare for service calls and warranties.
  • Limitations (from our research): a 24-month minimum term and no independent review listings. The BPSite fitter app is rated 3.5/5 from only 4 App Store ratings.

Reviews: App Store (BPSite companion app) 3.5/5 (4 ratings), checked October 2026. We found no G2, Capterra or Trustpilot listing.

Also considered

  • Easy PV (a design tool, so below the minimum score for a CRM page): Midsummer’s free UK design tool covers MCS calculations and DNO forms. Pro (GBP 35 + VAT per user per month, no contract, checked October 2026) adds automatic DNO applications. Payaca lists it as an integration. See our UK design software page.
  • Tradify (a weak match for this job): a general trades job-management app with strong reviews (Capterra 4.7/5 from 152). It has no solar features, and we could not confirm GBP prices.
  • Simpro (a weak match for this job): a quote-only field-service and project platform for mid-sized and larger contractors. Its solar page lists no solar-specific features.
  • Solar Pipeline: appears on GetApp and Capterra UK. Our research found its domain for sale and no evidence the product is active, so we did not score it.

How do you choose a solar CRM in the UK?

  • Want MCS documents and DNO G98/G99 submissions handled in the CRM? Pick Payaca.
  • Small installers who mainly need design, proposals and MCS reports per job should pick Pylon. Add its CRM only when lead volume justifies GBP 49 per user per month.
  • On a zero budget, use OpenSolar for proposals and lead capture, and plan to add a CRM later.
  • Selling heat pumps alongside PV? Book a Reonic demo and ask how it handles UK MCS and DNO steps.
  • Already running HubSpot for marketing? Keep it, connect OpenSolar and build the MCS and DNO stages yourself.
  • When service contracts and engineers’ diaries matter more than the sales pipeline, compare Commusoft.

Solar CRM UK FAQs

What is the best solar CRM for a small UK installer?

Pylon is the most flexible start for a small UK installer. Design and proposals cost GBP 4 per project, and its CRM add-on starts at GBP 49 per user per month. Payaca scores highest (83.1/100) but costs GBP 1,199 per month outside its new-business plan (October 2026).

Do UK solar companies need a solar-specific CRM?

Not always, but it saves you building the steps yourself. General CRMs such as HubSpot track leads well, but none we assessed documents MCS paperwork or DNO applications. In October 2026, only Payaca documented both inside the CRM.

Can solar CRM software manage MCS documentation?

Some can, as of October 2026. Payaca handles MCS documents within its job pipeline, and Pylon produces MCS reports from its design and proposal tool. Easy PV, a design tool rather than a CRM, includes MCS structural and performance calculations on its free plan.

Can a CRM submit G98 or G99 applications to the DNO?

Payaca is the only CRM we found that documents DNO G98 and G99 applications, sent through ENA Connect (October 2026). Easy PV, a design tool, makes DNO forms on its free plan and adds automatic applications on Pro (GBP 35 + VAT per user per month).

How much does solar CRM software cost in the UK?

OpenSolar’s core platform is free, and so is HubSpot for up to 2 users. Pylon’s CRM add-on costs GBP 49 per user per month. Business Pilot has a GBP 240 per month minimum, and Payaca Growth is GBP 1,199 per month ex VAT. Reonic, Voltflo and Commusoft publish no prices.

Is OpenSolar a CRM, and can it replace one?

No. OpenSolar is a free design and proposal platform with lead tools. We found no MCS, DNO, scheduling or invoicing workflow, so most UK installers pair it with a CRM. Payaca connects to it directly, and HubSpot connects through a third-party app.
